Why serial number matters more than it looks

Model number tells you what kind of unit it is. Serial number tells you which unit, and three things depend on that specificity.

Warranty verification. Manufacturer warranty status is looked up by serial. Without it, you cannot tell whether a failed part is covered, which means either absorbing a cost you could have claimed or charging a customer for something the manufacturer would have replaced.

The filter size row looks trivial and is not. A return visit to fit a filter is an unbilled trip, a second interruption for the customer, and a slot that could have held revenue.

Multiple units at one address

Most systems handle this poorly if it is not set up deliberately.

A house may have two furnaces. A four-plex has four. A small commercial building has three rooftop units. Each needs its own record with its own serial, install date, warranty and history — attached to the property rather than to a single lump labelled “the HVAC”.

Two things make this workable:

Location labels. “Upstairs”, “Unit 2B”, “RTU-3 north”. Whatever the technician would call it on the phone. Without labels, four records at one address are indistinguishable and the history gets attached at random.
