What HVAC Software Costs: Pricing Models Explained
Published pricing in this category is genuinely inconsistent. The same plan from the same vendor appears at different prices depending on which comparison site you read, and several vendors publish nothing at all.
Four pricing models exist, and which one you are on matters more than the headline number — because it determines how your bill behaves as you add technicians.
And for most shops with meaningful card volume, payment processing costs several times more than the subscription. It is almost never mentioned in comparison articles.
This guide explains the structures rather than chasing figures that go stale. Any number here is a planning range, not a quotation.
The four pricing models
1. Per-user pricing
You pay a monthly fee for each person with a login. Common at the small-shop end, usually somewhere between $30 and $100 per user per month depending on tier.
The trap: it looks reasonable at five seats and becomes punishing at fifteen. And “user” definitions vary — some vendors count office staff and technicians the same, others charge less for field-only seats, and a few charge nothing for view-only access. Ask which.
2. Per-technician pricing
Used at the enterprise end. Published estimates put enterprise platforms in the range of $245 to $400 per technician per month, and office staff are often included rather than counted separately.
The trap: the per-head figure is only part of it. Enterprise pricing usually arrives with an implementation fee and a multi-year commitment, which changes the real cost substantially.
3. Flat-rate with unlimited users
One monthly fee, however many people log in. Reported figures for platforms using this model sit in the region of $190 to $210 a month and up.
The trap: below roughly ten users the flat minimum is higher than per-user alternatives at the same headcount. The model only wins once you pass the crossover point.
4. Quote only
No published pricing. A sales conversation is required before you see a number. Common at the mid and enterprise tiers.
The trap: you cannot comparison-shop without booking demos, which is the point. Any figure you find online for a quote-only vendor is somebody’s estimate, not a price.
Where flat-rate overtakes per-user
This is the single most useful calculation in software pricing for a growing shop, and it is straightforward.
How to run this for yourself: take the flat-rate monthly minimum, divide by your per-user rate, and that is your crossover headcount. If you expect to pass it within 24 months, per-user pricing is a decision you will have to revisit.
Price out every shortlisted platform at your headcount 24 months from now, not today. Migration is painful and lossy — choosing a model that breaks at fourteen technicians when you will hit fourteen next spring is an expensive kind of saving.
The cost that dwarfs the subscription
Most field service platforms bundle card processing at roughly 2.6% to 3.5% per transaction.
Run the arithmetic on your own volume. A shop processing $150,000 a month in card payments pays between $3,900 and $5,250 monthly in processing fees. Against a subscription of $200 to $400, processing is not a line item — it is the whole bill.

That right-hand column is why the processing rate deserves more scrutiny than the subscription price. A 0.9% difference on $150,000 of monthly volume is $16,200 a year — more than most subscriptions cost outright.
Three questions to ask every vendor, in writing:
- What is the exact card rate, including any per-transaction flat fee on top of the percentage?
- Is ACH available, and at what cost? For commercial invoices and large replacements, ACH at a flat fee instead of a percentage changes the maths entirely.
- Can I bring my own processor? Some platforms allow it. Some make it technically possible but strip out features. Some forbid it.
What makes up your real monthly cost
Four components, and only one of them appears on the pricing page.

There is a fifth that never appears anywhere: your own staff hours. Entry-tier setup takes a day or two. Enterprise implementation absorbs 150 to 300 hours of internal time across data migration, price book build and training. At any realistic hourly cost, that is a five-figure expense that no quote will show you.
Contract terms change the price
A cheaper platform on a three-year commitment can be the more expensive decision.
Month-to-month means a wrong choice costs you 30 days. That optionality is worth paying for at the small-shop end, where you are still learning what you need.
Annual usually earns a 10–20% discount. Reasonable once you know the platform fits.
Multi-year is standard at the enterprise tier and typically not negotiable. Two to three years is common. The risk is not the length — it is signing before you have confirmed the platform will be used. Enterprise platforms fail at implementation far more often than they fail at features, and the contract does not care.
Why published prices disagree
If you have found three different figures for the same plan, you are not confused. The sources genuinely conflict, for four reasons:
Prices change and articles do not. A comparison written eighteen months ago still ranks, still looks current, and is wrong.
Tiers get renamed and repackaged. A plan that included five users last year may include three now at the same price.
Most comparison content is published by competitors. A vendor writing about a rival’s pricing has limited incentive to present it in its best light, or to update it when the rival cuts prices.
Promotional pricing gets quoted as standard. An introductory rate appears in an article, then persists as though it were the list price.
A written quote from the vendor, at your actual seat count, with the processing rate stated in the same document.
Everything else — including every number on this page — is a planning range.
A realistic budget by shop size
Subscription plus processing, assuming card volume scales with headcount:

Note the jump at sixteen technicians. That is where enterprise pricing typically starts, and it is a step change rather than a gradient. Published breakeven analysis for the largest platforms places their value threshold at roughly ten or more active technicians and $2M+ in annual revenue — below that, you pay enterprise cost for a fraction of the capability.
